You're moving fast—and that's a great thing. That said, I want to make sure we’re setting up your backend systems in a way that supports long-term growth. With your upcoming events later this summer, it's critical that we’re able to properly capture brand interest, merchandise waitlists, event bookings, and more. We’re all aligned that collecting data in an intentional and organized way now will pay dividends when it comes time to go to market.
To clarify terminology moving forward:

This current effort will be referred to as the Placeholder Project.

The Shopify site, Google Buildout, and Klaviyo Email Marketing work scheduled for August 1st will be referred to as the Primary Project.
These two projects are mutually exclusive.
Needs and Solutions
The following deliverables will be completed between July 1st, 2025 and July 31st, 2025:
- HubSpot CRM Build Out (Contact Database, Sign Up Forms, Email Marketing)
- HubSpot CMS Build Out (Placeholder Landing Pages)
- I will handle the domain setup from GoDaddy to HubSpot.
HubSpot: You, the client, are responsible for purchasing and subscribing to the HubSpot Starter Customer Platform for ~$27 per month. We’ll need 3 Core Seats to fully implement the CRM and CMS features included in this project. Please note: this subscription cost is not included in the project fee outlined below.

HubSpot CRM Build Out: We’ll set up your CRM with clean contact organization, custom lists, website forms to support intake funnels on our new landing pages, and streamlined reporting that makes it easy for your team to navigate. This foundation ensures that all future marketing efforts are powered by accurate segmentation when we’re ready to go to market—e.g., for release emails or targeted campaigns.

What's the benefit of this? By starting with a well-structured system, we’re setting the stage for scalable growth. As your contact list and audience engagement expands, HubSpot will serve as a centralized, searchable hub for all customer interactions—making it simple to find, manage, and act on what matters most.

HubSpot CMS Build Out: The biggest lift of this Placeholder Project will be building four placeholder landing pages: Home, About, Contact, and Events. We’ll also implement new intake forms in HubSpot that automatically funnel leads into the CRM, assigning each contact to the appropriate list (e.g., merchandise waitlist, partnership inquiry, event booking). The goal is to ensure every person who interacts with your brand is captured and organized in our system. This scope of work includes up to three rounds of landing page revisions. Additional rounds beyond that will be billed at $500 per round.

What's the benefit of this? As our contact lists grow, we’ll expand segmentation to better understand your audience—what they want, where they are, and how they engage. It’s a foundational investment in the Primary Project and future website we’ll build on Shopify.

Project Cost

This includes building out the HubSpot CRM by establishing our Contact Database, creating Sign-Up Forms, and setting up Email Marketing for all communications and follow-ups needed prior to launching our Primary Project on Klaviyo. This foundational setup will require approximately 20 hours of work.

Once we’re ready to roll out our Primary Project deliverables, we’ll export the necessary data from HubSpot, point the domain to our new website, and close out the HubSpot account and subscription.

Client Responsibilities

Provide access to any existing marketing assets, platforms, and logins (e.g., Shopify, Instagram, domain registrar, etc.)

Supply branded assets, including photos, video content, logos, and graphics for use across the website, email, and social campaigns

Share internal data, brand guidelines, customer insights, event schedules, and any existing research or audience personas

Review and approve all key messaging, email templates, ad copy in a timely manner

July 11th: Round #1 of Home, About, Events and Contact (LPs) page drafts are delivered
July 23rd: Round #2 of Home, About, Events and Contact (LPs) page drafts and revisions from Round #1 are delivered
July 31st: Round #3 (Final) and approval with launch of Home, About, Events and Contact (LPs)
